P/T Assistant Event Coordinator

Job Summary:

We are seeking a detail-oriented and enthusiastic Part-Time Assistant Events Coordinator for 15-20hrs/month to support the planning, execution, and rental management of event spaces at The Wright Village. The ideal candidate will assist in coordinating various aspects of events, from logistics and vendor coordination to attendee engagement and post-event follow-up, while also managing event space rentals. This role offers an exciting opportunity to be part of a dynamic team and contribute to creating memorable experiences for our community.

Responsibilities:

  • Assist in the planning and coordination of events, including workshops, networking sessions, community gatherings, and private events.

  • Coordinate event logistics, such as venue setup, catering, equipment rental, and transportation arrangements.

  • Communicate with event space rental clients to understand their needs, provide information about available spaces, and coordinate bookings.

  • Handle inquiries, requests, and bookings for event space rentals, ensuring timely responses and excellent customer service.

  • Manage event space calendars, including scheduling, availability tracking, and coordination with internal and external stakeholders.

  • Coordinate rental agreements, contracts, and payments for event space rentals, ensuring compliance with policies and procedures.

  • Assist with attendee registration, check-in, and on-site support during events and rentals.

  • Coordinate promotional efforts for events and rentals, including social media posts, email campaigns, and event listings.

  • Assist in the creation of event materials, such as signage, agendas, and presentation materials.

  • Provide administrative support, such as maintaining event databases, tracking expenses, and preparing post-event reports.

  • Assist in evaluating event and rental success and gathering feedback from clients and attendees for continuous improvement.

  • Collaborate with the Events Coordinator and other team members to brainstorm ideas and implement innovative event concepts.

Qualifications:

  • Previous experience in event planning, coordination, rental management, or related field preferred.

  • Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.

  • Strong communication and interpersonal skills, with the ability to interact professionally with clients, vendors, sponsors, and attendees.

  • Detail-oriented mindset with a focus on accuracy and quality in all aspects of event coordination and rental management.

  • Proficiency in Microsoft Office Suite and event management software is a plus.

  • Flexible schedule with availability to work evenings and weekends as needed for event coverage and rental management.
